How Your Benefits Team collects, uses, shares, and protects information — and the choices you have about it.

Who we are

Your Benefits Team is the servicing division of Your Benefits Team Inc., dba Benefit Bloc, an employee benefits administration and brokerage firm based in Florida. In this policy, "we," "us," and "our" mean Your Benefits Team Inc.

We work with employers to administer their benefit plans and support their employees. That means we handle information about two different groups: people who visit our website or contact us directly, and employees of the companies we serve.

What this policy covers

This policy applies to yourbenefits.team, our marketing and support pages, our email and text message programs, and the benefits tools we operate for our clients.

It does not apply to third-party sites we link to, including Employee Navigator, insurance carrier portals, and payroll systems. Those services have their own privacy policies, and we encourage you to read them.

If you are an employee of one of our client companies: the health information in your benefit plan records is protected under HIPAA. We handle that information as a business associate of your employer's group health plan, under a written business associate agreement and the terms of your plan's Notice of Privacy Practices. Where HIPAA or your plan's notice conflicts with anything in this policy, those govern.

Information we collect

We collect only what we need to answer your question, run a benefit plan, or improve how our site works.

You give us
Your name, email address, phone number, employer, and whatever you write in a message when you contact us, request a demo, or ask for help.
Your employer gives us
Eligibility and enrollment information needed to administer the plan — name, contact details, date of birth, dependents, employment status, and elections. We receive this under our agreement with your employer.
Collected automatically
IP address, browser and device type, pages viewed, referring page, and approximate location derived from IP. Collected through cookies and similar technologies — see Cookies and your opt-out.
From our providers
Whether an email we sent was delivered, opened, or clicked; whether a text message was delivered; and whether you unsubscribed or replied STOP.

We do not buy contact lists, and we do not sell personal information.

How we use information

We use the information we collect to:

  • Respond to your questions and provide benefits support
  • Administer benefit plans and enrollment on behalf of our client employers
  • Send plan notices, enrollment reminders, and other service communications
  • Send marketing email or text messages, where you have opted in
  • Understand which pages people use, so we can make the site more useful
  • Protect our systems, prevent fraud, and meet legal and regulatory obligations

We do not use your information for automated decisions that produce legal or similarly significant effects about you, and we do not use it to target advertising to you on other websites.

Cookies and your opt-out

Cookies are small files a website stores on your device. We use two kinds:

  • Essential cookies keep the site working — remembering your session, keeping pages secure, and storing the cookie preference you set below. These cannot be turned off, because the site cannot function without them.
  • Analytics cookies count visits and show us which pages people actually use. They are not used to build an advertising profile of you and are not shared with advertisers.

Florida does not require us to block cookies until you agree to them. Instead, we follow an opt-out model: analytics run by default, we tell you clearly that they do, and you can switch them off at any time with the control below. Your choice is stored in a cookie on your device and applies to this browser.

You can also block or delete cookies in your browser settings, and we honor the Global Privacy Control signal — if your browser sends one, we treat it as an opt-out automatically and you do not need to do anything else. Because browser-level Do Not Track headers are not interpreted consistently across the industry, we do not respond to them separately.

Email from us

We send email through Twilio SendGrid. Two kinds of email come from us, and they work differently:

  • Service email — enrollment deadlines, plan notices, replies to something you asked us. If you are enrolled in a plan we administer, you receive these because they are part of the service, and they continue even if you unsubscribe from marketing.
  • Marketing email — news, product updates, and invitations. You can stop these at any time.

Every marketing email includes an unsubscribe link in the footer along with our physical mailing address. Unsubscribing takes effect immediately. You can also email helpdesk@yourbenefits.team and we will remove you.

Our emails may include a small tracking pixel that tells us whether the message was opened and which links were clicked. We use this to see whether our messages are useful, not to track you across other websites. Turning off image loading in your email client prevents it.

Text messages

We send text messages through Twilio. We text you only if you have given us your mobile number and agreed to receive messages — for example, by checking a consent box, replying to a message, or asking us to text you.

We do not sell, rent, share, or otherwise disclose mobile phone numbers or SMS consent to any third party for their own marketing purposes. Numbers collected for text messaging are used only to send you the messages you signed up for, and are shared only with the messaging providers that deliver them on our behalf.

Opting out and getting help

  • Reply STOP to any message to stop receiving texts. We will send one confirmation and then stop.
  • Reply HELP for assistance, or call or text us at 321-234-0707.
  • Message and data rates may apply. Message frequency varies.
  • Carriers are not liable for delayed or undelivered messages.

Consent to receive marketing texts is never a condition of enrolling in a benefit plan or receiving service from us.

How we share information

We share information only where it is needed to do our job:

  • Your employer's plan — enrollment and eligibility data, as required to administer the plan. We do not report individual support conversations back to your employer.
  • Insurance carriers and plan vendors — to enroll you, process claims, and issue ID cards.
  • Service providers that operate our systems under contract: benefits administration and enrollment platforms, email and text messaging delivery, cloud hosting and storage, website analytics, and customer relationship management. They may use your information only to perform services for us.
  • Legal and safety — when required by law, subpoena, or regulator, or to protect our rights, our clients, or someone's safety.
  • Business transfers — if the company is merged or acquired, information may transfer as part of that transaction, subject to this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

AI assistance

Some of our tools use artificial intelligence to answer benefits questions from your employer's plan documents. When you use one:

  • Answers come from the plan documents loaded for your employer, not from generic internet content.
  • Your questions are processed by our AI provider under a contract that prohibits using your information to train their models.
  • Plan documents we load are plan-level materials — summaries, certificates, and benefit guides — not individual medical records.
  • An AI answer is a summary. If it conflicts with the official plan documents or your certificate of coverage, those documents govern.

How long we keep it

We keep information for as long as we need it for the purpose we collected it, and then for as long as required by law, our client agreements, and insurance recordkeeping rules. Benefits and enrollment records are generally retained for the period required under ERISA and applicable state law. Marketing contact records are kept until you unsubscribe, plus a suppression record so we do not accidentally email you again.

How we protect it

We use encryption in transit, access controls that limit information to the people who need it, audited cloud infrastructure, and written agreements with the vendors who handle data for us. Staff receive privacy and security training appropriate to their role.

No system is perfectly secure. If a breach affects your information, we will notify you and the appropriate authorities as required by Florida law and any other law that applies.

Your choices and rights

Whatever state you live in, you can ask us to:

  • Tell you what personal information we hold about you
  • Correct information that is wrong
  • Delete information we no longer need to keep
  • Stop sending you marketing email or text messages
  • Turn off analytics cookies — use the control in Cookies and your opt-out

Email helpdesk@yourbenefits.team or call 321-234-0707. We will verify who you are before acting on a request, and we will respond within 45 days. We do not charge for this and we will not treat you differently for asking.

If your information is part of a benefit plan record, some requests have to go through your employer's plan or your HIPAA rights instead. We will tell you if that is the case and point you in the right direction.

If we deny a request, you can ask us to reconsider by replying to our response. Florida residents may also contact the Florida Attorney General's office.

Children

Our site and services are for adults. We do not knowingly collect information directly from children under 13. We do receive information about children who are covered as dependents on a parent's benefit plan — that information comes from the parent or the employer, and we handle it under the same protections as the rest of the plan record.

Changes to this policy

We update this policy when our practices change. The effective date at the top always reflects the current version. If a change materially affects how we handle your information, we will say so plainly here and, where appropriate, notify you by email.
